TAKING A PROACTIVE APPROACH TO WORK IN LOCKDOWN

In recent months, the public have made a collaborative effort to get life back to some sense of normal. As lockdown restrictions began to ease, employees returned to the workplace, children were back in school and the economy was embarking on a long road to recovery.

This progress, however, is now at risk of coming to an abrupt halt. Although businesses across all sectors have worked tirelessly to become safe and secure, this global pandemic is once again on the rise and stricter social measures are set to be reintroduced.

Although this may be a daunting prospect for many, we must try to remind ourselves of the positive developments that have been made both in our personal and professional lives.

Among the many changes society has experienced, the biggest adjustments were most prevalent in the way we work. New technologies were embraced at a rapid rate, working practices were completely modified and entire industries underwent their own digital revolution.

Yes, the prospect of another lockdown is unwelcome, but businesses across the country are now equipped to deal with this scenario and must take with them the lessons they have learnt from the past nine months.

Communication and connectivity

The sudden shift to remote working caused widespread disruption across the marketplace. Offices became completely barren as vast numbers of employees began to work for their own homes. Although having a flexible workforce isn’t a new concept, it has never been practiced on such a wide scale and, for the most part, on a permanent basis.

A trial by fire for many, clients, customers, employees, and key stakeholders had to quickly evolve their traditional working methods if they were to ensure productivity and business continuity remained intact.

Those that were successful will have undoubtedly implemented new and innovative technologies into their business processes. This has proven to be most effective in the way we now communicate.

With physical interactions strictly prohibited, the Open Comms team for example have utilised video calling as a safe and secure alternative. Although the preference for many will always be to engage face-to-face, the enhancement of video capabilities has provided many benefits to our team. As with many workforces across the country, it has ultimately helped us to remain open for business.

With a flexible working approach, employers have been able to allocate more time to catch up with their team and other office members, whether this is through Teams, Skype or other video conference platforms.

Unexpectedly, without the usual rat race rush and time spent in a particular office, the use of technology has also enabled employees to become better connected to colleagues from different areas of the business. Not only does this create a more connected and inclusive culture, but it also promotes synergy across the company as a whole.

More importantly, many businesses have harnessed video conferencing to deliver a digital customer experience when conducting consumer to business interactions. As the behaviors of potential consumers continue to change, those hardest hit by this global pandemic must resume using video technology as a means of engaging with their customer base and selling products or services.

Mental and physical wellbeing

As we are now many months into the Coronavirus crisis, the traditional eight-hour working day is being slowly replaced with a more flexible model. Although adjustment periods can often be difficult, adapting to living amid a global pandemic has the potential to magnify all our concerns and anxieties.

When the spread of this virus initially took hold, the uncertainty that came with it undoubtedly had an adverse impact to many people’s mental states and being housebound for multiple months was also detrimental to our physical fitness.

However, we quickly learnt to take advantage of lockdown by using the extra time to enjoy life away from the office. Whether this was developing new hobbies, exercising more frequently or spending some much-needed time with our families. We must continue to make concerted efforts to stay proactive despite the threat of Covid continuing to impact our lives.

That being said, it is important to remember that no one person’s mental health will be the same, and therefore can change on a daily, weekly or monthly basis. When someone may be struggling, another could be thriving. Therefore, whether it’s business or in our personal lives, we must also be wary of the people we work and live with as further social restrictions come into play.

Although this has obviously been a difficult year, we must continue to adapt what we have learned over the past several months to improve our daily and future lives. Once this has passed, the legacy of this pandemic should see our working and personal lives be vastly improved.

TIPS FOR WORKING FROM HOME

The disruption caused by COVID-19 has affected people and businesses all over the world. We’ve now had weeks of confusion, panic and uncertainty.

Like many others, the Open Comms team have been working remotely for some time. While this has been uncharted territory for us, it was one that we were prepared for.

With that being said, although we had systems and processes in place that would allow us to continue servicing our clients remotely and without any interruption, what I, personally failed to prepare for is how working from home can be mentally draining.

The first few days in particular were challenging. I went from a routine that I really liked to simply waking up and confining myself to my room all day. Fortunately, as the days have gone by, I have adapted to this new way of working by making small changes in my WFH routine.

Here are some things I have done that you can do also –

Have breakfast before starting work

The most important meal of the day and one that should not be delayed. Yes, many of us will be enjoying a lie in as we no longer need to commute but that doesn’t mean waking up at 8:57 to start work at 9. I noticed, if I miss breakfast while working from home, then I probably won’t have anything to eat until lunch, which would just make me feel less energetic throughout the entire morning. Sleeping in is great, but avoid over indulging. Give yourself enough time to wake up and have breakfast before logging on.

Check in with your team

Going from greeting your colleagues every morning to no interaction at all can make you feel disconnected. Just because you aren’t physically seeing your team does not mean you can’t drop them a quick message. Email is probably not the best option to check in with the team but there are many instant message platforms that can be downloaded for free such as Slack.

Step away at lunch

It’s really easy to fall into the habit of eating at your desk, especially if you’re already in the comfort of your own home. Don’t fall into this trap! During your lunch, take some time out to perhaps venture into the garden for some fresh air or even just change rooms. Get lost on social media or maybe give your friend a quick call.

Incorporate some exercise after work

Being active is more important than ever right now. Whether it’s one hour or 20 minutes, set some time aside after work to exercise. Not only will it help to maintain overall health and fitness but exercise can also lift your mood. I’ve come across numerous gym enthusiasts and vloggers who are providing in depth home workout plans, so there is plenty of support out there on how to get started!

Working from home isn’t as ‘easy’ as it sounds but with a few tips we can certainly make it easier! If not done properly it can take a toll on your mental health and general wellbeing. Although you might be at home, don’t disregard the importance of continuing to lead a balanced work-life routine.

DOES FLEXIBLE WORKING HELP OR HINDER CAREER PROGRESSION?

While new technological advancements continue to change the way we live our lives, the expectations we have on society constantly evolve, none more so than the way we work.

We are in the midst of a digital transformation and as result the social and economic landscape is continually changing. As part of this workplace evolution, we’ve seen the rapid growth of the gig economy; a surge in the opening of major co-working spaces; the number of start-ups reaching record levels and an increased desire for remote or flexible employment.

In addition to these innovations, our mental health and well-being has never been so valued and as a result, I believe the quest to find the perfect balance between a career and personal life is being sought after more than ever.

Organisations are already taking notice of these changes and we are seeing an increasing number of companies adapt new strategies to help meet the demands of their employees. For instance, Microsoft recently unveiled that it tested out a four-day work week in its offices in Japan for the entire month of August, without decreasing pay.

The trial project, called Work-Life Choice Challenge Summer 2019, was unsurprisingly met with an overwhelming positive response by the workers. What is particularly interesting is that productivity among the 2,300 employees rose by 40%.

What we can take away from this project is that happier employees became more efficient, and the company as a whole benefited. However, despite the large number of participants, it is important to remember that this took place over just one month and in one company. The long-term impacts of a four-day week are still relatively unknown and until further companies take that leap of faith, it is uncertain if this strategy will become a permanent fixture in the workplace.

A major trend emerging in recent years is the desire to work remotely or have the ability to work via a flexible schedule, choosing when, where and how to work on any particular day.

Although this concept was initially restricted to specific roles and industries, companies from a wide range of sectors are now more accepting, allowing employees to enjoy more freedom than ever before.

According to recent research compiled by Instant Office, flexible workspace now amounts to more than 85 million square feet of the UK office market.

With an increasing number of people opting to work from home or shared co-working spaces, there is a lot more pressure being put on the employer to introduce flexible working within their business model.

But at what cost?

As well as all the advantages that comes with digitalisation, there is unfortunately an element of risk. Cyber-attacks and data breeches are on the rise, and the exposure of companies only widens when assets are scattered in different locations.

The security measures implemented within an office will be much more robust than those at home or on a public wi-fi network. As a result, remote or flexible workers are not only more likely to become victims of cyber-attacks, but the companies they are working for are also in danger.

I believe this is where trust becomes such an integral part of this process. Not only trusting the employee to carry out day-to-day activities at an efficient rate, but to also have the confidence to know that they will protect themselves and the employer from any potential threats.

This can be achieved through a thorough communication strategy that keeps both parties constantly up-to-date and aware of any critical changes. With that being said, we have to question if the responsibility still falls on the employer to ensure staff have the correct security systems in place to help them work remotely.

Although the changing trends of the way we work show no signs of slowing down, I believe it will be sometime before we see the workplace become completely flexible. There are too many variables to determine why or when companies should implement flexible working into their model.

Does the size of the company play a role? Does it depend on the nature of the work or industry they are in? Does flexible work offer the solution for a perfect work-life balance?

Digitalisation is changing the workplace, but to what extent is still unknown.
